Reports to: Office Manager
Duties and Responsibilities
- Open and close the office with doors, lights, music
- Primary person to answer and direct phone calls and greet guests
- Assist with closing process with title company, buyers, realtors via conference room availability
- Research volunteer opportunities, communicate companywide, and update the company on volunteer hours served
- Partners with the Office Manager to execute tasks and backup
- Assist with onboarding and offboarding
- Maintains and updates Adobe software and collaborates to maintain communication tool software needs and users
- Mail retrieval at the general mailbox as well as customer drop box and sorting to appropriate mailbox/person/email
- Create inventory of office supplies, IT hardware, and employee clothing and develop systems to maintain
- Liaise with facility management vendors including cleaning, catering, repairs, rugs.
- Monitors company email inbox and voicemails
- Escalates calls to appropriate personnel within the organization and ensures follow-up with third parties occurs timely
- Maintain office spaces including light cleaning
- Other administrative duties as assigned
Qualifications and Skills:
- Proficient in Microsoft Word and Outlook
- Experience in an administrative role
- Friendly, positive, courteous customer service attitude
- Excellent communication skills
- Strong ability to multi-task, prioritize and execute
- A creative flare
