Thomsen Homes is a rapidly-expanding residential construction company looking for an organized, self-starter to join our team as Office Manager. This position will wear a variety of hats so a well-rounded background in office administration and customer service is preferred. The Office Manager will primarily support our team, but we pride ourselves on our effort to make each guest and caller feel especially welcome. They will often be the first impression for Thomsen Homes, so we are looking for someone who enjoys greeting our clients as well as working with fellow team members.
Duties and Responsibilities
- Office administration
- Primary person to answer and direct phone calls and greet guests
- Maintain office space including light cleaning
- Liaise with facility management vendors including cleaning, catering, security, repairs and/or snow removal
- Manage security, phone, copier and other office systems and equipment
- Maintain office supply inventory by checking stock to determine inventory level, anticipating needing supplies and placing office supply orders according to budget.
- Mail retrieval and sorting
- Travel arrangements
- Team culture and engagement
- Participant of the event committee
- Assist with planning employee events and coordination community social events
- Assist with philanthropy initiatives and communications
- Coordinate volunteer, training, and continuing education opportunities
- Order and manage team clothing and promotional items according to budget
- Participant of the event committee
- Assist with onboarding and offboarding
- Coordinate email setup, equipment needs, office space, key access
- Assemble and deliver new hire packets
- Partner internally to update and maintain employee handbook policies
- Operations & Client Support
- Retrieve reports and prepare data for other stakeholders
- Follow-up on status of claims with vendors and clients via phone and email
- Update claim status in system
- Input final walk-through action items in system and scan
- Provide other support as necessary
- IT Liaison
- Work with outsourced IT support for internet, network, security, and phone system issues
- Handle minor IT equipment purchases
- Assist with IT vendor scorecard
Qualifications and Skills:
- Proficient in Microsoft Word, Excel, Power Point and Outlook
- 2+ years of experience in an administrative/office management role
- Friendly, positive, courteous customer service attitude
- Excellent communication skills
- Strong ability to multi-task, prioritize and execute
- A creative flare
- A do what it takes attitude
Work Environment & Physical Demands:
- While performing the duties of this role, the employee is required to stand; walk; sit; lift or move up to 20 pounds and speak clearly and hear well.
- The noise level in the work environment is usually moderate.
